QPS Accountants BV takes privacy and data protection seriously. Consequently, the personal data that you provide will be processed by QPS Accountants BV with due care. We will only treat the personal data that you provide us within the scope of our service provision for the purposes listed below.  This Privacy Statement describes QPS Accountants BV’s policies and practices regarding its collection and use of your personal data, and sets forth your privacy rights.

Who is responsible for processing your personal data?

The personal data that you provide are processed by QPS Accountants Hasselt BV (hereinafter called QPS Accountants), with registered office at 3500 Hasselt, Prins Bisschopssingel 34A.

Purposes of the data processing

The personal data will be processed in accordance with the provisions of the EU-Regulation on the protection of natural persons with regard to the processing of personal data and on the free movement of such data of 2016, May 24 (General Data Protection Regulation or ‘GDPR’). QPS Accountants will only process your personal data for specified, explicit and legitimate purposes, i.e., for its accounting, consultancy, payroll administration and tax declaration activities, and will not process your personal data further in a way that is incompatible with those purposes. These data will only be processed for the time needed. In addition to that, QPS Accountants will also process the data of its staff, applicants and suppliers in the way indicated below.

Which data

For the purposes of the above-listed activities, QPS Accountants will process the following personal data: first name and family name, telephone numbers, addresses, professional information, e-mail addresses, family composition, national registry number and other identification numbers, financial information, physical data as well as real estate and property contracts. These data are saved at secured locations, both electronically and on paper.

Retention period

QPS Accountants however is required by law to retain certain information for a specific period of time: seven years (Title III, Code of Economic Law, fiscal legislation) for all of the above-listed information, except for the name, the national registry number and other identification numbers and address information, which will be retained for ten years (Money Laundering, Terrorist Financing and Transfer of Funds (Information on the Payer) Regulations).

Which data

With regard to its own staff and candidates, QPS Accountants processes the following personal data: first name and family name, telephone numbers, addresses, bank information, professional information, e-mail addresses, family composition, national registry numbers and other identification numbers, curricula vitae, payroll information. These data are saved at secured locations, both electronically and on paper.

Retention period

QPS Accountants is required by law to retain certain information, such as tax documents, the personnel register, the individual accounts and possible appendices, for a specific period of time, i.e., seven years for tax-related documents (tax law) and five years for the personnel register, the individual accounts and their possible appendices (social law). All other data will be retained for one year at the most.

Processing in the context of the relationship with the suppliers

Which data

Within the scope of its collaboration with suppliers, QPS Accountants has to retain the following personal data as well: name, telephone numbers, addresses, professional information, e-mail addresses, national registry number and other identification numbers, bank information. These data are saved at secured locations, both electronically and on paper.

Retention period

Except for the documents that have to be retained for seven years for fiscal reasons, the other personal data will be retained by QPS Accountants for one year at the most.

Transfer to third parties

As set forth above, QPS Accountants will treat and process all personal data with the utmost confidentiality. 

QPS Accountants will only transfer your personal data to third parties as necessary for our legitimate professional and business needs, to carry out your requests, and/or as required or permitted by law or professional standards. This would include:

  • Authorities and government institutions
  • Courts
  • Social security services
  • Notaries
  • Accounting professionals and practitioners
  • Lawyers and attorneys
  • Direct suppliers or service providers of QPS Accountants

The personal data will in no way be used for commercial purposes.

You have the right to access to your personal data. You have the right to retrieve and to consult your personal data and if the information we hold about you is incorrect, you may ask us to correct any inaccuracies in the personal data. You have the right to the erasure of any data concerning you (except in some cases, for example, to prove a transaction or when required by law). We will make all reasonable and practical efforts to comply with your request, so long as it is consistent with applicable law and professional standards.
